Use this procedure to record customer demographics.
The Client Demographics page displays.
In the Client Information section:
The customer's Name, Age, Gender, Client # and Updated Date are read-only.
In the Client Demographics Dates section:
Enter the Effective Begin Date of the demographic details (required).
Enter the Reported On date for when the demographic details were reported to the local department (required).
Enter the date customer became aware of the details in the Date Change Occurred field (required).
Enter the date the verification was received in the Verification Received On field (required).
In the Client Demographic Information section:
Enter the Identification Number for the ID verification document, if applicable.
Select the source of the customer's ID Verification.
Select the State that issued the source of the ID verification.
Select the Marital Status of the customer.
Select the Parental Status for the Child (first parent) from the dropdown menu.
Select the Parental Status for the Child (second parent) from the dropdown menu.

The Parental Status dropdown menus are enabled and required when entering Client Demographic details for children under 19 on TANF. The second Parental Status is not required if Not Applicable is selected from the first dropdown menu. The Parental Status fields are disabled when TANF Diversionary Assistance is requested, |
Select Yes or No from the Is Individual Emancipated? dropdown menu.
Select the Emancipated Minor Verification from the dropdown menu.
In the Residency Information section:
Select the State of Residence of the customer.
Select the source of verification of residency from the Residency Verification from the dropdown menu.
Select Yes or No from the Does the individual plan to remain in the State of Residence? dropdown menu.
In the Citizenship Special Needs Good Cause Information section:
Select Yes, No or Exempt from the US Citizen dropdown menu (required).
Click Verify Citizenship to verify the customer's citizenship.

The customer's citizenship status, as verified by the Federal Hub, will be noted. |
The Federal Hub Verification Date is read-only.
Select Yes or No from the Citizenship Verified Through Deemed Newborn dropdown menu, if applicable.
Select the source of verification of US citizenship from the Citizen Verification dropdown menu (required if Yes is selected from the US Citizen dropdown menu and the call to the Federal Hub did not yield a verification).
Enter the Citizen Verification Date.
Select the details for special needs or good cause from the Special Needs / Good Cause Details dropdown menu.
Select the Special Needs / Good Cause Verification from the dropdown menu.
Enter the date the verification for the special needs or good cause was received in the Special Needs / Good Cause Verification Received On field.
Select Yes or No from the Is the Individual in active Military Service? dropdown menu. This is a required field for the Child Care program.
In the Custody Details section:

If entering demographic details for a customer under the age of 18 the Is this child in joint custody? field is enabled. |
In the Other Demographic Information section:
Enter the customer's Tax Filing Status from the dropdown menu.
Select Yes or No from the Child’s Total Earned Income Exceeds the IRS Tax-Filing Threshold of $6100 field, if applicable.
Select Yes or No from the Child’s Total Unearned Income Exceeds the IRS Tax-Filing Threshold of $1000 field, if applicable.
Select Yes or No from the Is the individual providing care for the disabled household member in the home? dropdown menu if applicable.
In the Medical Assistance Information section:
Select Yes or No from the Received Medical Service / had a Medical Expense in the Last Three Months dropdown menu.
Select Yes or No from the Eligible / Received Health Services from Indian Health Services dropdown menu.
Select Yes or No from the Needs Assistance with Daily Living Activities dropdown menu.
Select the customer's MCO from the dropdown menu.
Enter the Effective Date for the customer's MCO. This field defaults to the application date during the Intake / Screening or Add A Member driver flows.
Select Type of Medical Assistance mother received or expected to receive at the time of child birth from the dropdown menu, if applicable.
In the TANF Information section:
Select Yes or No from the Do you want to uncap the child? dropdown menu.
Select the Reason for capping / uncapping the child from the dropdown menu.
Select Yes or No from the Optional Adult (EWB) who provides services essential to the well-being of someone in the household? dropdown menu.
Select the Reason for EWB from the dropdown menu.
Enter the Date of Death of First Parent, if applicable.
Enter the Name of First Parent, if applicable.
Enter the Date of Death of Second Parent, if applicable.
Enter the Name of Second Parent, if applicable.
In the Security Information section:
Select the Authentication Level, if applicable.
Enter the customer's Secret Word in the field. This information is provided by the customer in the event they would like an Authorized Representative to have access to the account as well.
In the APTC Information section:
Enter the Name of Federal Tribe, if applicable.
Select the name of the customer's Tribal State from the dropdown menu, if applicable.
Select Yes or No from the Enrolled Health Coverage dropdown menu, if applicable.
Click Save + Continue.

The VaCMS queues the Client Demographics page for every customer in the household. This process repeats itself until demographic details have been recorded for all customers in the household. |
