Use this procedure to link a duplicate individual when a client is incorrectly file cleared and another record for the same client already exists. Duplicate Client linking can only be performed when the duplicate client has not been evaluated to receive benefits on any case and eligibility has not been determined for the duplicate client.
From the Left Navigation menu, click Inquiry then Link Client.
The Link Client page displays.
In the Duplicate Client section, enter the client who has not been evaluated for receiving benefits in the Client # field.
In the Primary Client section, enter the client number of the primary client in the Client # field.
Click Submit.

To search for a client in the Client Search Popup window, click the magnifying glass next to the Client # field. Duplicate client:
If required, the worker will have to add the primary client to the duplicate client’s case. |
This process determines if the duplicate client and primary client have the same SSN, and if the duplicate client is a case name or SNAP Head of Household. When successfully linked, the duplicate client is marked ‘Invalid” in the VaCMS and on existing cases; and is end dated with the current date.
