Rapid Data Entry - Wrap-Up
Use this procedure to enter data as part of the Rapid Data Entry process.
Process Steps
The Wrap-Up page displays after completing the MA Non-Financial Information page, the Housing Bills page, or the Other Bills page, depending on information entered. Some fields / sections may only display based upon the specific mode (Apply, Renewal, or Change Report), program(s) being applied for, or as a result of certain details entered/not entered on the other RDE pages. For Renewals and Change Reports, a Cancel Edit button displays, allowing you to cancel any revisions you are currently making in that section, reverting all fields back to the blank or default values.

- Use the icons in the summary sections page to edit, delete, or undo records and changes. If you edit a record, click Save + Add to save the changes.

- The edit icon (pencil) re-populates information about the individual selected and changes can be made.
- The delete icon (trash can) removes the selected record. Existing records from the VaCMS cannot be deleted (when performing Renewals and Change Reports).
- The undo icon (curved arrow pointing to the left) allows you to reset any information that was edited back to the information that exists in the VaCMS. This can only be used during Renewals and Change Reports.
- A green “E” icon will display next to a customer’s name if that record has been edited during the Renewal or Change Report
- In the Tax Information section, provide additional tax status details that were not entered previously.

- If a tax filer has a joint filer who lives outside the home, identify that individual by entering the joint filer’s name next to the tax filer’s name in the Other Joint Tax Payers section.
- Fields marked with a red asterisk are required.
- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- In the Caretaker section, identify a caretaker for a child or children displayed.

- This section displays for children under age 18 when a parental relationship has not been identified on the Relationships page.
- Only adults 18 years of age or older can be selected from the Caretaker dropdown.
- This section does not display if the Relationship page is skipped.
- In the Absent Parent section, identify an absent parent for a child or children displayed.

- This section displays for children under age 18 when either the father or mother is identified as not on the home.
- This section does not display if the Relationship page is skipped.
- Fields marked with a red asterisk are required.
- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- In the Joint Owners section, identify joint owner(s) for resources that have been entered.

- This section displays if resources have been entered and the Other Owners field is answered Yes.
- Fields marked with a red asterisk are required.
- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- In the Health Insurance - Types of Coverage section, enter the dates related to health insurance policies that have been entered.

- This section can display pre-populated fields if health insurance coverage details have been entered on the MA Non-Financial page.
- This section does not display if health insurance details have not been entered.
- Fields marked with a red asterisk are required.
- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- In the Comments box, you can enter a comment that may assist in the processing of the Application, Renewal, or Change Report. The comment box will pre-populate with “CVCC” which stands for the Cover Virginia Call Center.

In the Authorized Representative section, enter the details of the Authorized Representative. If there is no Authorized Representative, leave all fields blank.
- Select the programs for the authorized representative.
- Fields marked with a red asterisk are required.
- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- To allow the representative to view applicant/customer data, choose Yes or No from the View Data? dropdown menu.
- Once completed, click Save + Add to complete the record. You can repeat the steps if you need to enter additional Authorized Representative details.
- In the Certified Application Counselor / Navigator / Broker section, enter the details of the Certified Application Counselor / Navigator / Broker. If there is no Certified Application Counselor / Navigator / Broker, leave all fields blank.

- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- Once completed, click Save + Add to complete the record. Only one can be active, so end date or remove a record if necessary.
- In the Authorization to Use Income Data to Renew Coverage section:

- Select the Number of Years the applicant/customer authorizes to use income data to renew coverage for future renewals.

- Select Do not use information from tax returns to renew my coverage, if the customer does not authorize a number of years to use income data to renew coverage for future renewals.
- If completing a Renewal or Change Report, you can select if the customer would like to change the authorization status.
- If completing a Renewal or Change Report, the Authorization Received Date and number of years selected display.
- In the Submit section:

- Select the name of the individual signing the application from the Person signing dropdown list or enter the applicant/customer’s First and Last Name.
- Fields marked with a red asterisk are required.
- Fields without a red asterisk may not be required, but should still be completed if the information is available to you.
- Choose Yes or No from the Consent to Exchange Information dropdown list to indicate that the applicant/customer is willing to exchange information.
- Choose Yes or No from the Voter Registration dropdown list if the applicant/customer wants to register to vote now.
- Click Submit.

- You will be taken to the Case Summary page.
- If there is an unsubmitted Renewal / Report Change in RDE, click the MA Renewal or MA Report Changes button to open the Renewal / Report Changes window

- Click Yes to return to the previous RDE page.
- Click No to create a new Renewal or Report Change and delete the existing unsubmitted Renewal or Report Change.
- If the user tries to start a new Report Change in RDE when there is already an unsubmitted Renewal in RDE and an unsubmitted Renewal in Data Collection, the following error appears: “FO01439: There is a renewal in progress in Data Collection." Click ‘OK’ to delete the unsubmitted Renewal in RDE and start a new Report Change.”
Results of the Procedure
Rapid Data Entry process is complete.
