Search for an Application / Waiting List Screening

Use this procedure to search for an application or waiting list screening. This page is one of two places (Inquiry > Application) you can search for applications entered through RDE, CommonHelp, FFM and Application / Screening.

Process Steps:

  1. From the Left Navigation menu, select Application / Screening, then Maintain Application / Screening, then Search Application Screening:

     

  2. In the Application / Screening Search section:

 

Each inquiry must contain a minimum of an SSN or at least one character in the first name field together with a last name. Enter more specific search criteria to narrow the search results.

 

 

Always use a letter "T" in front of the number when entering an application or waiting list screening number.

 

 

Processing Statuses for Search Results:

  1. New - File Clearance process has not been started in My Workspace. This status can display depending on the point at which the Self Direct process fails.

  2. Started - File Clearance process has been started in My Workspace but not completed. This status can display depending on the point at which the Self Direct process fails.

  3. Process - My Workspace process has been completed, including being assigned to a worker, but Case Action has not been initiated. Clicking the link takes you to the Case Action page (only for cases that have programs administered in the VaCMS). This status can display depending on the point at which the Self Direct process fails.

  4. Continue Registration - This status displays if the Self Direct process failed at Application Registration. Clicking the link takes you to the point at which the Self Direct process stopped.

  5. Continue Case Assignment - This status displays if the Self Direct process failed at Case Assignment. Clicking the link takes you to the case assignment page.

  6. Known to VaCMS - Any client referred from the FFM who is known in the VaCMS, the application will have ‘Known to VaCMS’ status in My Workspace. This status is based on first name, last name, DOB combination or with SSN. If you see this status, investigate to see if denying the duplicate application is appropriate.

  7. FFM - Incomplete Information – When required data is missing in the FFM application, the application will have a status of ‘FFM Incomplete’ in My Workspace. If you see this status, you may not need to process the application as it could be corrected by a daily FFM batch.

  8. Application Pending – An application has not been assigned to a worker.

  9. Case Pending – A case that has not had eligibility run and authorized, or eligibility has been run but one or more customers on the case are pending.

  10. Application Denied – An application that was manually denied or disposed of by a worker.

  11. Case Approved – A case that one or more customers are approved for assistance. Results must be authorized to see this status.

  12. Application Complete – The application has been assigned to a worker but Case Action has not been initiated.

  13. Case Denied / Closed – A case that everyone is denied eligibility or all programs on the case have been closed. Results must be authorized to see this status.

The worker has successfully completed the search and retrieved the application.
