Reassigning a Caseload in the VaCMS

Reassign Caseload

Follow the steps below to assign a caseload to another worker:

  1. From the Left Navigation menu, select Maintain LDSS Resources and Caseload Reassignment.

  2. In the From section, choose the applicable From Unit from the dropdown menu. The LDSS field auto-populates based on the authorized worker’s local department.

  3. Based on the selection for the From Unit, the dropdown menu selection for the Available Employee(s) populates with the names of all the employees in the selected unit.

  4. Choose the applicable employee name and click the plus () icon to add them to the Selected Employee(s) section.

  5. Repeat the above steps if additional employees need to be added to the From section.

  6. Select the employee’s name that the cases are being transferred from and click View Case Assignment.

  7. A list of all of the cases currently assigned to the selected employee is populated in the Current Assignment Details section.

  8. Use the checkboxes to select the cases to be transferred, or click Select All to select all of the cases currently assigned to the employee.

  9. In the To section, select the Unit from the dropdown menu, then choose an employee from the Available Employee(s) drop down menu and click the plus () icon to add them to the Selected Employee(s) section.

  10. Repeat the above steps if additional employees need to be added to the To section.

  11. Click Submit to reassign all of the selected cases to the employee(s) listed in the Selected Employee(s) box of the To section. Cases are not transferred immediately; they are transferred overnight by the VaCMS.

 

Selected Cases

The selected cases are divided evenly between the selected employees in the To section of the Selected Employee’s list box.

When a caseload is divided between multiple employees, the first case is assigned to the employee listed first, the second case to the employee listed second, and so forth, until each employee is assigned one case. The next case is assigned to the first employee, and the cycle continues until all cases are reassigned.

Cases are not transferred immediately; they are transferred overnight by the VaCMS.
