From the Left Navigation menu, select Data Collection, then Case Action.
The Case Action page displays.
Enter the Case or Application or Screening Number or click the search icon and proceed to Search for a Client to search for the case, application, or waiting list screening number (required).
Select Case Change / Closure from the What action do you want to perform? dropdown menu.
Click Next.
The Case Action Confirmation page appears the first time you enter a case action.
Select Yes from the "Do you wish to continue?" dropdown menu.
Click Next.
The Household Information page displays.
From the Left Navigation menu, select Individual Information, then Other In-State Benefits.
The Other In-State Benefits page displays.
Update the Effective Begin Date to the first day the family is no longer receiving TANF, Head Start, or SNAPET benefits.
Select Terminated from the Status dropdown menu.
Click Save + Continue.
From the Left Navigation menu, select Eligibility, then Run Eligibility.
Proceed to Run Eligibility.

Remember that the case status is different from the authorization status. After closing a case, update the authorization status to discontinued with an Effective Begin Date of the first day the family is not eligible for child care services. |
Proceed to Update Authorization Status.
The VaCMS will close the case on the effective begin date of the terminated TANF, Head Start, or SNAPET record.
