Use this procedure to update vendor requirements for an individual associated with a vendor in the VaCMS. Vendor requirements can be updated for vendors maintained by DOLPHIN.
To record an individual requirement:
The Facility Household Summary page displays.
Click Add Individual.
The Facility Household Detail page displays.
In the Facility Household Detail section:
Enter the Effective Begin Date (required).
Enter the First name (required).
Enter the Last name (required).
Enter the DOB (required).
Select Gender (required).
Select the Relationship To Vendor.
In the Facility Requirements Detail section:
Select the Requirement Type (required).
Select the Requirement Status (required).
Failure Reason Code, if appropriate.
Select Requirement Expiration Date (required).
Click Add.

If a vendor does not fulfill a requirement by the Requirement Expiration Date the VaCMS automatically changes the vendor status to closed. Children cannot be authorized to receive care from a vendor with a closed status. |
Repeat the process for adding requirements until all requirements for the individual are added.
After all the requirements for the individual have been added, in the Facility Requirements Summary section:
Review the recorded requirements.
Click Save + Continue.
If this is the first time updating the vendor’s information:
The Facility Narrative Summary page displays.
Proceed to Add Comments to Facility Narrative.
If this is not the first time updating the vendor’s information:
The Facility Narrative Summary page displays.
Use the Left Navigation menu to select another page to update.
To update an individual requirement:
The Facility Household Summary page displays.
Click the appropriate individual requirement edit icon.
The Facility Household Detail page displays.
Review and update the information, refer to the steps 2. through 4. above.
Click Save + Continue.
If this is the first time updating the vendor’s information:
The Facility Narrative Summary page displays.
Proceed to Add Comments to Facility Narrative.
If this is not the first time updating the vendor’s information:
The Facility Narrative Summary page displays.
Use the Left Navigation menu to select another page to update.
The individual’s vendor requirement is now recorded and updated in the VaCMS.
