Searching for Pending Applications in the VaCMS |
About
In the VaCMS, you have the ability to search for and view pending applications. Called the Pending Point in Time Application page, this feature displays applications with all the following status types:
Application Pending - Application / Registration is complete, but Data Collection has not yet started.
Case Pending – Data Collection has been started but is not complete; for instance, you are waiting on verifications from the client and / or the results are not yet authorized.
The
search results on the Pending Point in Time page display according
to region; additional filtering options allow you to narrow the search
by locality, unit, and worker. This report is real time and will reflect
current data.
Note:The VaCMS also features a Pending Applications Report which
displays monthly pending applications. See the document titled Generating Reports in the VaCMS
for more information.

Helpful Tips
All search results on the Pending Point in Time Application page display by T-number. This is true regardless of their status. In other words, if the data collection process has been started (but not yet finished and / or authorized), the application’s number will have changed in the VaCMS from a T-number to a case number (starting with the number 1); however, the case will appear in the Pending Point in Time page results under its T-number.
If the application has become a case or if the application is associated to an existing case, the worker will need to use the case number instead of the application number in Case Action to take action on the case.
The Pending Point in Time Application page will display records of all applications (by case name) in which one or more members have not yet been authorized. In other words, a record will display if:
Eligibility has been run on a case but the results have not been authorized.
Eligibility results are pending due to needed verifications.
Not all EDGs in a MA household have been authorized.
Not all programs are approved in a mixed case.
Applications in My Workspace with a status of New or Started do not display in the Pending Point in Time Application page results.
You have the option to search for Minimal Applications, Potential Expedite Applications, Pregnant Woman and Extend Pend applications by filtering the search criteria. Applications or cases that fit this criteria will feature an icon next to the case of T number that indicate one of the above scenarios are present on the case.
Search for Minimal Applications by filtering for the (M) icon
Search for Potential Expedite Applications by filtering for the (E) icon
Search for Pregnant Woman Applications by filtering for the (P) icon
Search for Extend Pend Applications by filtering for the (X) icon
Applications that have been converted to a Change Report or Renewal during file clearance do not display in the Pending Point in Time Application page results. Workers will receive an alert that an application has been converted to a Change Report or Renewal if certain criteria are met. For more information, see the Converting Applications to Changes or Renewals in the VaCMS QRG.
