Use this procedure to record alien details for customers that are not US Citizens.
The Alien - Details page displays.
In the Client Information section:
The selected customer's Name and Client # are read-only.

The Alien - Details page displays the first alien customer in the household. |
In the Alien Dates section:

During the Intake process the Effective Begin Date defaults to the first of the application / screening month. When making updates to the Data Collection driver flow the Effective Begin Date defaults to the current date. |

When entering information for the first time the Reported On, Date Change Occurred, dates default to the current date. |
Enter the Effective Begin Date of the alien details (required).
Enter the Reported On date for when the alien details were reported to the local department (required).
Enter the date the actual change occurred in the Date Change Occurred field (required).
In the Qualified Alien Information (Child Care only) section:
Select Yes or No from the Qualified Alien dropdown menu to determine if the non-US Citizen is a qualified alien (required).
Select the alien status from the Alien Status dropdown menu (required).
Select the source of verification of a qualified alien from the Qualified Alien Verification Source dropdown menu (required).
Enter the date the customer received a special immigrants visa (SIV) or asylum in the Date SIV or Asylum granted, if appropriate.

All fields in this section are required except for the I-94 Number field, which is only required if "I-94 (Arrival / Departure Record) in Unexpired Foreign Passport” or “Form I-94 or I-94A annotated with stamp" is selected as a verification source from the Alien Status Verification Source dropdown menu. |
In the Alien Status Information section:
Select Alien Status from the dropdown menu (mandatory).
Click the Verify Lawful Presence button.

An option from the Alien Status menu must be selected before the Verify Lawful Presence button is clicked. This verification is only enabled for MA cases. In order to select Became a Citizen as the Alien Status, Yes must have been selected in the U.S. Citizen Status field on the Client Demographics page. |
Select an Alien Category from the dropdown menu.
Enter the customer's I-94 Number in the field.
Enter the DHS Case #, if appropriate.
Select the customer's Foreign Passport Country of Issuance in the field.
Enter the customer's Alien Number in the field.
Enter the customer's Document Expiration Date.
Enter the customer's Document Number.
Enter the customer's SEVIS ID Number in the field.
Enter the customer's Visa Number in the field.
Enter the customer's Date of entry into the U.S.
Select Yes or No, from the Alien has 40 quarters qualified Social Security Credits dropdown menu (enabled for MA only).
Select the customer's 40 Quarters Verification Source from the dropdown menu.
Select Yes or No from the Requires Dialysis? dropdown menu.
Select Yes or No from the Did the individual enter the U.S. under a different alien status dropdown menu.
Select a value from the Alien status at the time of entry dropdown menu (mandatory if answer to previous question is Yes).

The 40 quarters verification source field is required when the Alien has 40 quarters qualified Social Security Credits field is "Yes". The Date G845 Mailed to DHS field is enabled only if the G845 Form is available from the Federal HUB. Clicking View G845 Form will navigate you to the DMIS Search page. The Client ID field will be defaulted with the selected client ID and the Document Type field will be defaulted to PE (Permanent Verifications / Identity). |
In the Emergency / Restricted Coverage Dates section:
Select Yes, No, or Pending from the Is emergency services Criteria Met? dropdown menu.
Enter the customer's Coverage Begin Date.
Enter the customer's Coverage End Date.
Click Save + Continue.

The VaCMS queues the Alien - Details page for every non-US citizen in the household. This process repeats itself until all non US citizenship information has been recorded for all the required individuals in the household. No emergency services will be approved for undocumented aliens. |

The Clients - Questions page displays. Proceed to Household Clients Questions.
Customer alien details are recorded.
